Vestamere is feature-complete for v1 (paperwork bundle, body tracking, GPL engine, family portal, aftercare, compliance) but not pilot-tested at scale. We’re looking for 1-2 independent funeral homes willing to put real cases through it for 90 days. In exchange: aggressive discount, direct founder access, and influence over what we build next.


What the pilot looks like

90-day commitment

  • Day 0 (week of signing): 30-min onboarding call. Tenant provisioned. Pricing locked at 50% of standard rates for 12 months.
  • Week 1: Setup — funeral home profile, users, GPL initialization. ~2 hours of your time.
  • Weeks 2-4: First 3 cases run through Vestamere (in parallel with your existing software as safety net).
  • Months 2-3: Vestamere becomes primary; old software phased to historical reference.
  • Day 90: We jointly review what worked and didn’t. You’re free to continue, switch, or part ways amicably with full refund of unused months.

What you give us

  • Weekly feedback notes (10 minutes of writing).
  • Permission to mention you in marketing — anonymized initially, named if you consent later.
  • Photos / screenshots of real usage for our marketing (with family + staff consent).
  • Honest reactions when something is broken or confusing.

What’s in v1 today

All shipped, all live, all part of the pilot:

  • One-click paperwork bundle — death certificate, obituary, insurance claim packets, newspaper submissions, VA / SSA forms, benefits checklist.
  • Body tracking with family-visible chain of custody — barcode tag at intake, scanned handoffs, family portal audit log.
  • Real-time GPL + signed arrangement quotes — versioned price list, hash-signed quotes, PDF export, public website auto-publish.
  • Family portal — chain of custody, arrangement quote, benefits checklist, state-specific FAQ, aftercare touchpoints.
  • Aftercare engine — 9-touchpoint cadence (Day 7 / 30 / 60 / 90 / first holiday / first anniversary / birthday / year 1 / month 11). Estate-clearance checklist. Grief-resource catalog. Ethical defaults.
  • Compliance reference — federal + 9-state rule catalog (CO, IL, FL, TX, WA, OR, CA, MA, NY).
  • Disposition SLA monitoring — Inngest worker alerts on overdue cases.
  • AI-assisted drafting — obituary, with explicit family review before any publication. Ethics-aware (see /articles/ai-in-funeral-software).

What’s NOT in v1 yet (and we’re honest about it):

  • QuickBooks Online integration — in procurement (Intuit developer account approval pending). Manual export works.
  • ASD answering service inbound — in partner-program outreach.
  • C&J Financial insurance funder — in partner outreach. Manual carrier filing works today.
  • 3rd-party e-sig service (DocuSign / HelloSign integration) — director records signature method (e_sig / paper / verbal_recorded) but no provider-integrated flow yet.
  • State rules outside Tier-1 launch states — falls back to FTC baseline.

Who’s a good pilot fit

Yes if:

  • You’re an independent funeral home in CO, IL, FL, TX, WA, or OR (Tier 1 launch states with full state-overlay compliance). Other states work at federal baseline; can still pilot.
  • You handle 80-500 cases per year. Small enough to onboard quickly; large enough that the math matters.
  • You’re using a legacy desktop system (SRS, FrontRunner) and ready to modernize.
  • You care about the family experience — body tracking, transparent pricing, aftercare — not just director efficiency.
  • You’re willing to give honest feedback. Even uncomfortable feedback.

Probably no if:

  • You’re a chain-affiliated home or part of a roll-up acquisition pipeline. Vestamere is built for independents.
  • You need every integration to work day-1 (QB, specific funder, specific carrier). We’ll get there; we’re not there yet.
  • You handle <30 cases/year. The math gets tight; the minimum monthly may not fit.
  • You’re shopping based primarily on price. Vestamere’s pricing is fair (per-case with volume discount) but Osiris and some legacy tools are cheaper.

  1. 30-minute call. We talk through your current workflow, your pain points, and what specifically Vestamere would handle for you. We’re honest about what we DO and DON’T do well.
  1. If we’re a fit, we move to pilot signup. If not, we tell you so honestly and recommend a different tool. (Common honest recommendations: Passare if maturity matters most; Osiris if "by-FDs-for-FDs" framing is central; Gather if Homesteaders alignment is a fit.)
  1. Pilot signing: one-page agreement covering the 50% discount, the 12-month price lock, the cancellation terms (any month, full refund of unused), and the feedback expectations. No forced arbitration. No class-action waiver. Plain English.

What we’ll ask you in the call

Just so you can think ahead:

  1. What’s the case management problem that, if solved, would change your week?
  2. What software have you tried and why did you leave?
  3. What specifically goes wrong at your home today — the recurring frustration?
  4. How do you think about the cremation transition and Celebration of Life?
  5. What’s your succession plan? (Not a sales question — we want to know who’ll inherit the operating decisions.)
  6. Who else at your home would touch Vestamere day-to-day, and what do they need?

Pilot success looks like

At day 90, we consider this a success if:

  • [ ] You’ve run 15-20+ real cases through Vestamere.
  • [ ] Body tracking is muscle-memory for your prep room staff.
  • [ ] Your active GPL is what families see and what gets signed.
  • [ ] At least one family triggered an aftercare touchpoint and reacted positively.
  • [ ] You haven’t hit a blocking bug for >48 hours.
  • [ ] You’d recommend Vestamere to another independent funeral home owner you respect.

5 of 6 = we succeeded. Fewer = we revisit. Either way, you keep your data and we honor the pricing commitment.


What happens after the pilot

If the pilot succeeds, you’re a Vestamere customer at standard pricing (less the 50% lock-in through month 12). You also have permanent founder access, priority for v1.5 features, and (if you consent) a named role in our case studies.

If the pilot doesn’t succeed, you cancel. Full refund of unused months. Full data export. No hard feelings. We’ll typically ask for a 30-minute exit interview to understand what didn’t work — that’s how we improve.
