Three things changed in the funeral software world that put pressure on the SRS install base:

  1. Cloud has crossed over. Desktop installs require backups you maintain, networks you secure, updates you remember. Cloud SaaS is now mature enough that even risk-averse operators trust it.
  2. The FTC rewrite is coming. SRS doesn’t auto-publish your GPL to your website or version state-overlay rules. The new compliance bar requires capabilities SRS wasn’t designed around.
  3. Apprentices won’t learn it. The hardest signal from the retention crisis: licensed directors trained in the last 5 years find legacy desktop software actively painful to use. Hiring is hard enough without the software being a turn-off.

Step 0: Pre-migration audit (1-2 hours)

Together we:

  • Map your SRS workflows to Vestamere equivalents
  • Identify SRS customizations that need rebuilding (note: most don’t — modern defaults cover them)
  • Estimate data volume (active cases, historical cases, family contacts, vendor relationships)
  • Decide which SRS modules to migrate vs which to retire (preneed often retires; family contacts often migrate)

Step 1: Parallel deployment (30-60 days)

  • Vestamere goes live for new cases only.
  • SRS stays as your historical reference and active-case tool.
  • Your directors run the new cases in Vestamere while continuing in-flight work in SRS.
  • After 30 days, you have a real comparison of operational fit.

Step 2: Historical import (1 week)

  • Vestamere’s SRS importer pulls: case records, decedent details, family contacts, vendor relationships, document attachments, audit logs.
  • Custom fields map to Vestamere’s extensible field system.
  • Pricing data (your GPL versions over time) imports with timestamps preserved.
  • The import is non-destructive — SRS stays intact.

Step 3: SRS sunset (30 days after import validated)

  • Open cases finish in SRS or migrate to Vestamere mid-flight (your call per case).
  • After all active cases close in SRS, the tool moves to historical reference mode.
  • Vestamere holds the operating record from this date forward.
  • We recommend keeping SRS access for 12-24 months as historical reference. The cost is small; the safety net is real.

Step 4: Director training (2-4 weeks)

  • Senior directors: 4 hours of guided walkthrough.
  • Apprentices / new staff: trained in Vestamere from day one; they don’t need to know SRS at all.
  • Bookkeeper: 2-hour session on the QuickBooks/Xero sync (this is often the biggest improvement vs SRS).

FAQ

What if I have customizations in SRS? Most map. Some don’t. The pre-migration audit identifies them, and we estimate the rebuild effort upfront. Often the "customizations" are workflows that Vestamere’s defaults already cover better.

What happens to my historical SRS data? Imported with timestamps preserved. Original SRS install stays as-is — we don’t touch it. You decide when (if ever) to decommission the SRS server.

Can I migrate one location at a time (multi-location)? Yes. Multi-location independents typically migrate the most active location first, prove operating fit, then migrate the rest at their own pace.
